Supported File Formats Guide

To ensure that your documents and image files meet the official standards of Philippine government agencies and corporate offices, ToolBayan supports a wide selection of industry-standard file formats.

Here is a guide to the supported file formats across our editor, converter, directory, and template tools.


Image Formats

Our image utility tools (such as the ID Picture Maker, Background Remover, and Image Converter) support reading and exporting the following image formats:

  1. JPEG / JPG (.jpg, .jpeg)
    • Best Used For: Personal photos, passport and 2x2 ID pictures, and background imagery.
    • Supported Tools: Fully supported across all image editors. Excellent for uploading your face photos.
  2. PNG (.png)
    • Best Used For: Graphics that require transparent backgrounds, such as digital signatures.
    • Supported Tools: Recommended for the E-Signature Background Remover.
  3. WebP (.webp)
    • Best Used For: High-compression web images with small file sizes that maintain quality.
    • Supported Tools: Supported in the Image Converter.
  4. SVG (.svg)
    • Best Used For: Scalable vector logos and symbols that stay sharp at any size.
    • Supported Tools: Supported in Image Converter.
  5. GIF (.gif)
    • Best Used For: Standard static images. (Note: animated GIF conversion is limited to static frame processing).

Document Formats

For office records, reports, letters, and forms, ToolBayan works with the following document formats:

  1. PDF (.pdf)
    • Best Used For: Official submissions, certificates, and printable office paperwork.
    • Supported Tools: The PDF Editor allows you to fill, sign, and annotate standard PDF forms. Output from our Document Generators can be exported directly as high-fidelity print-ready PDFs.
  2. DOCX / Word (.docx)
    • Best Used For: Editable documents that require secondary styling or custom additions in Microsoft Word or LibreOffice.
    • Supported Tools: Standard letters and memorandums can be exported in text layouts compatible with word processors.
  3. JSON (.json)
    • Best Used For: Data structure representations.
    • Supported Tools: Used for exporting and importing custom question sets in the Exam Reviewer.

Tips for Format Submissions

  • Passport & 2x2 ID Photos: Always export as JPG with high-quality settings. Most official portals (like the DFA passport appointment, Civil Service commission application portals, and board exams) mandate .jpg or .jpeg formats.
  • E-Signatures: Always export as PNG with transparent background enabled. This allows you to overlap your signature cleanly onto official PDF templates without covering underlying form lines.
  • Official Submissions: Keep the document format as PDF to lock your fonts and margins. Sending a .docx file to another device can distort layout spacings and font styles.

Government agency digital portals frequently update their maximum file size restrictions and acceptable extensions.
